BOOKING INFORMATION

✈️ Please register using your full legal name as it appears on your passport. This information will be used for travel arrangements and must match your government-issued identification.

A registration form and deposit are required for every traveler.

Each traveler is required to complete their own registration form and submit their own deposit.

It is strongly encouraged that roommates’ complete separate bookings to avoid any discrepancies.

If you are making a deposit on behalf of yourself and your roommate, by submitting payment you acknowledge that both parties agree to the booking terms, payment schedule, cancellation policy, and travel requirements associated with this trip. You also acknowledge that you are responsible for ensuring all monthly payments are made for both yourself and your roommate.

Travelers booked under the same registration form will receive one monthly invoice. Combined registrations cannot be separated into individual payment plans at a later date.

All trip correspondence, including payment reminders and trip updates, will be sent to the primary traveler completing the registration and must be shared with any additional travelers included on the reservation. Therefore, separate registrations are strongly recommended when applicable.

Travelers must select either the Land Only package or the Full Package with Flight at the time of booking. Once booked, package selections cannot be changed.

GROUP AIRFARE INFORMATION

Group airfare can be very restrictive.

For the most flexibility with earning points, seat selections, upgrades, and schedule changes, it is strongly suggested to book your own airfare separately.

Seat assignments are controlled by the airline and cannot be assigned, guaranteed, or changed by SunFire Travel Group.

Travelers purchasing the group airfare package must travel on the group's flight itinerary.

Airport transfers are only included for travelers arriving and departing on the same exact flights as the group roundtrip.

Group airfare flight schedules from Chicago (ORD) to Tokyo Haneda International Airport (HND) will be provided in early 2027.

Airline schedules, aircraft, and seating arrangements are subject to change.

ROOMMATE INFORMATION

Per person rates are based upon double occupancy.

If your roommate does not submit their deposit within 24 hours, cancels their reservation, fails to make required payments, or is removed from the trip, your reservation may be adjusted to the applicable single occupancy rate.

SunFire Travel Group is not responsible for roommate cancellations, missed payments, occupancy changes, or any resulting rate increases.

Due to the smaller hotel room sizes commonly found in Japan, roommate matching is not recommended for this trip.

• The full itinerary will be emailed no later than 30 days prior to travel

Valid passports are required.

Passports must be valid for a minimum of 6 months beyond your scheduled return date and travelers are responsible for meeting all entry requirements for Japan.

Please note that travel protection insurance is NOT included in your package, but we strongly suggest purchasing a policy to protect your investment and provide peace of mind.

It is generally suggested to purchase within 5 days of paying your deposit for the most coverage options.

TERMS & CONDITIONS

By submitting a registration and/or payment for this trip, you acknowledge that you have read, understood, and agree to all Terms & Conditions, payment requirements, cancellation policies, and travel requirements associated with this trip.

CANCELLATION POLICY

All deposits and payments are non-refundable and non-transferable due to contractual commitments made on behalf of travelers, unless otherwise stated in writing by SunFire Travel Group.

Final payments are due July 23, 2027.

Monthly payments are required to avoid trip cancellations. If no payments are made within 60 days, booking will automatically be cancelled and all monies paid will be forfeited.

SunFire Travel Group is not responsible for any rooms that are cancelled due to lack of payment from your roommate. It is your responsibility to ensure your roommate is making their required payments.
